One fleet day

The same record answers three different questions

Before departure, during the journey and after the return, your team looks at the same fleet record for different reasons.

The map answers the immediate question: where is this vehicle? The update time matters just as much. A last known position tells you where a vehicle was when it last reported, not where it is now.

The drawing scrolls sideways. Everything in it is written out below.

Before the first departure

Check where tracked vehicles are reporting from and identify the journeys you need to follow. Depot accounts can show a manager their own vehicles, alerts and reports while head office keeps the wider fleet view.

Read the position with its update time. A stale position is a historical fact, not a live one.

Text version of this diagram

A schematic line between four Zambian points — Lusaka, Kabwe, Kapiri Mposhi and Ndola — with a depot marker, a geofence boundary and stop markers along the route.

  • Before the first departure. Check where tracked vehicles are reporting from and identify the journeys you need to follow. Depot accounts can show a manager their own vehicles, alerts and reports while head office keeps the wider fleet view. Written example: Selected vehicle — Truck 04 (example); Reporting from — Lusaka depot; Last update — 07:12, four minutes ago. Read the position with its update time. A stale position is a historical fact, not a live one.
  • While the fleet is moving. Use location, stops and timings to follow journeys. Geofences define the places that matter to your operation, such as depots or delivery areas, with configured entry and exit alerts to review. Written example: Journey — Lusaka to Ndola (example); Configured event — Depot geofence exit, 07:48; Stop — Kabwe, 12 minutes. Follow an event back to the vehicle, route and circumstances before deciding what caused it.
  • At the end of the journey. Trip history brings the route, stops and timings into one record. Review an arrival, check whether a planned route was followed, or examine an event with the people involved. Written example: Trip record — 321 km, 3 stops (example); Arrival — Ndola, 14:26; Reviewed with — Driver and depot manager. Replay is for investigation. Agree who reviews a trip, and why, before the system is in daily use.

Add the detail your operation needs

Start from the question you need answered, then add only the scope that answers it.

Operational questionRelevant scope
Where did the vehicle travel?Location, route history, stops and timings.
Did it enter or leave an agreed area?Configured geofence alerts.
Why did a fuel reading change?Fuel monitoring with suitable equipment, plus contextual review.
What happened around an incident?Video telematics
What conditions did a refrigerated load travel in?Cold-chain monitoring

Fit the system around your fleet

Send the number and type of vehicles, where they operate and the issue you most want to address. The Lusaka team assesses fitting, power, connectivity and any additional sensors before agreeing the installation plan.

Users, zones and alerts are configured for your operation. Give drivers clear information about tracking, access and retention, and assign someone to investigate the alerts you enable.

Operating conditions

Built for Zambian roads

  • Weak or no signal

The unit keeps recording location while signal is weak or lost, and uploads the stored trip once it reconnects. No gaps in the trip record.

  • Cross-border trips

Tracking continues when vehicles cross into Zimbabwe, the DRC, Tanzania and Mozambique, so transit routes stay visible end to end.

  • Hidden, hardwired units

Units are hardwired and concealed by the Lusaka team, not plug-in devices, so they are hard to find or disconnect. Fitting takes 30 minutes to 1 hour per vehicle.

  • Depot accounts

Each depot manager can have a login limited to their own vehicles, alerts and reports, while head office sees the whole fleet.

Why it matters

What it changes day to day

  • Answer 'where is it?' without phoning the driver.
  • Check fuel use against distance travelled.
  • Find out quickly when a vehicle is somewhere it should not be.
  • Use trip history to settle disputes about routes and arrival times.

Who it is for

Typical users

  • Transport and logistics operators
  • Construction and mining fleets
  • Distribution and delivery
  • Company car and service fleets

How it works

From installation to alerts

  1. 01

    Survey and install

We confirm what you need to monitor, fit the devices and check each one reports correctly before handover.

  2. 02

    Connect

Devices send data to the cloud platform. You get user accounts, alert rules and the thresholds that matter to you.

  3. 03

    Monitor and act

Watch live status on the web or mobile app, get alerts when something moves out of range, and review history when you need it.

Responsible use

Tracking people comes with obligations

We build governed systems, so we set these out before you buy rather than after.

  • Vehicle location linked to a driver is personal data under Zambia's Data Protection Act, 2021.
  • Tell drivers in writing that vehicles are tracked, why, and who can see the data.
  • Decide how long trip history is kept, and restrict access to the people who need it.

This is general guidance, not legal advice. We can help you prepare a driver notice and a retention policy as part of the installation.

Questions

Answered directly

Is Hapis Nav available in Zambia?

Yes. Hapis Nav is live and is sold, installed and supported in Zambia by HAPIS Tech Solutions Limited from our office in Lusaka.

Can I see my vehicles on my phone?

Yes. Hapis Nav has a web dashboard and a mobile app showing the same live positions, history and alerts.

What do you need from us for a quote?

The number and type of vehicles, where they operate and what you most want to control, for example fuel, routes or unauthorised use.

Do we need to tell our drivers?

Yes. Tracking a vehicle that a named person drives processes that person's data. Give drivers a written notice and set a retention period. We can help you prepare both.

How long does installation take per vehicle?

Between 30 minutes and 1 hour, depending on the type of vehicle. We schedule installations around your working hours to keep vehicles on the road.

Can our dispatchers track vehicles in remote areas with poor mobile signal?

Yes. The unit keeps recording location while signal is weak or lost and uploads the stored trip once it reconnects. Dispatchers see the last known position in the meantime, and the full route fills in automatically.

Can we set up separate accounts for different depot managers?

Yes. Each depot manager can have a login showing only their depot's vehicles, alerts and reports, while head office sees the whole fleet. We set up the accounts and access levels with you at installation.
